What's What on Legalesign

On the Legalesign system, an organisation has one or more groups with reusable templates that know a lot about the fields (including signature boxes) and roles of each recipient you want to send a document with a particular experience.

Each of these means a specific thing on the Legalesign platform, and generally in the e-signature industry. A firm grasp will help you use Console or the API, so let's explain what each of them means!

Organisation

The top-level account for a company or client on the platform is called an organisation. This level usually controls the billing, compliance settings, and access to GDPR tools.

Group

Sometimes referred to as a "team", a group is a secure collection of resources for authorized users. Your organisation can have one or more groups, with each having at least one administrator. A group can specify the way all documents sent from it behave through its settings. So, for instance, you could have one group that specifies all signing confirmation emails come with audit logs of every action taken on the document, and a different group for internal agreements that doesn't.

Template

A template is a reusable document that contains fields and roles. You can create a template by uploading a file (usually in PDF or Word format) and then placing fields on it, or by using our API to create a template from scratch. Templates are a great way to save time and ensure consistency when sending similar documents.

Templates can be set to automatically archive themselves after they have been used to send a document.

Role

A role is the part that a signer will play on a template. For instance, the landlord on a template is a role, whereas bob@goodhousing.org is a recipient—an instance of that role in a specific document. There are three role types: signer, witness and approver.

It's worth noting here that the sender isn't treated as a role on the document. Each role becomes a recipient of some kind.

Document

A document is an instance of a template that is sent to one or more recipients for signing, witnessing, or approval. A document is created from a template during the send process (where you can alter the name of document to be produced and other properties).

Recipient

A recipient is a person who is involved in the signing process of a document. They can have different roles such as signer, witness, or approver, and they interact with the document according to the permissions defined by their role.

Experience

An experience defines the look and behavior of the signing process, including the appearance of invitation emails and the signing interface. Each recipient is assigned an experience, allowing you to customize the process for users inside or outside your organization.
